Cancellation Policy

At Langtang Treks Nepal, we understand that unexpected situations may arise that cause you to change or cancel your travel plans. Our cancellation policy is designed to be as fair and transparent as possible while helping us cover the costs already incurred in organizing your trip.

1. Booking & Deposit

A non-refundable deposit of 20% of the total trip cost is required at the time of booking to secure your reservation.

The remaining balance must be paid after your arrival in Nepal before the trip departure date.

For bookings made less than 30 days prior to departure, full payment is required at the time of booking.

2. Cancellation by the Client

If you wish to cancel your trip, you must notify us in writing (by email). The cancellation will be effective on the date we receive your written notice. The following cancellation charges apply:

More than 45 days before departure    Loss of deposit only
30–45 days before departure    25% of total trip cost
15–29 days before departure    50% of total trip cost
Less than 15 days before departure    100% of total trip cost (no refund)

Please note:
No refund will be made for any unused services (e.g., meals, accommodation, flights, transportation, or activities) once the trip has started.
We strongly recommend purchasing comprehensive travel insurance that covers trip cancellation, interruption, and medical emergencies.

3. Cancellation by the Company

We reserve the right to cancel any trip prior to departure due to circumstances beyond our control (e.g., natural disasters, political unrest, flight cancellations, insufficient bookings, or other unforeseen events).

In such cases, you may choose to:

Transfer your deposit to another available trip date, or

Receive a full refund of the amount paid (excluding any non-refundable permits, flights, or booking fees).

The company will not be liable for any additional expenses incurred by clients due to trip cancellation (such as visa, insurance, or flight costs).

4. Trip Alteration or Postponement

If you wish to postpone your trip, we will do our best to accommodate your new preferred dates.

Postponement requests made more than 30 days before departure will incur a 10% rescheduling fee.

Postponements made within 30 days will be treated as cancellations and charged accordingly.

5. Unforeseen Circumstances

In case of natural disasters, pandemics, or government restrictions that prevent the trip from operating, we will offer credit or rescheduling options rather than direct refunds. These credits can be applied to future trips within 12 months.
